We are looking for a Project Management Office (PMO) & Quality Management (QM) Assistance to perform the following tasks:

PMO Tasks
  • Support the Program organization and PMO-related activities.
  • Consolidate and maintain the Program roadmaps and status reports.
  • Manage overall Program meeting structure and ensure follow-up on decisions.
  • Document and support team lists and Outlook distribution lists.
  • Plan and coordinate program activities including steering committee meetings, supplier engagements, and internal meetings.
  • Support and manage the Travel Management Program.
  • Organize and facilitate Program meetings.
  • Support the technical onboarding of Program members.
  • User Management and Access Control, on/offboarding and access rights.
  • Provide and maintain an organized collaboration platform for internal and external stakeholders (SharePoint, Teams
  • channels, etc.)
QM tasks
  • Assure Program adherence to standards and processes for quality assurance in IT projects.
  • Sparring partner on equal footing with the project manager, with agile project management mindset and
  • competence.
  • Prepare and coordinate Quality Gates at the program level.
  • Planning of milestones and Q-Gates & Completion of all mandatory documents.
  • Completion of milestone checklists & Completion of Q-Gate templates
  • Safeguard that projects comply with relevant guidelines
  • Provide coaching and support to demand package leads and project leads for correct execution of quality processes.
  • Support escalations and provide guidance for quality-related issues and risks.
  • Support legal topics (ECC, ASECO, OPERA, ISEC, etc.) and ensure definition of formal project requirements.
  • Identify and implement enhancements to optimize operational efficiency.
  • Ensure consistent application of best practices and standards across the program.
  • Support and facilitate quality management activities throughout the program lifecycle


Requirements

  • Lead Level - Fluent in English
  • Mid-Level - Minimum 3 years experience in PMO assistance role
  • Mid-Level - Experience with PMO tools
  • Mid-Level - Strong knowledge of Quality Management processes, including Q-Gates
  • Junior Level - Knowledge of project management methodologies
  • Entry Level - Experience with global teams is a plus
